Personal data are processed as described in the Privacy Policy, the Data Protection Notice and the Cookie Policy, which are provided for information and transparency purposes and do not replace the legal bases required under the GDPR.
- Eligibility and Registration
Participation in the Event is strictly limited to individuals who have successfully completed the registration process and have been expressly accepted by the Organizer. The Organizer reserves the right, at its sole discretion, to approve or reject any registration without obligation to provide justification, subject to applicable law. Any approval or rejection will be exercised in compliance with applicable law, including non-discrimination principles and mandatory security and access requirements.
Participants must be at least [minimum age, e.g. 18] years of age at the time of the Event. By registering, the Participant represents and warrants that all information provided during registration is accurate, complete, and up to date.
- Mandatory Identification and Security Requirements
Due to the Event taking place within an operational international airport and airport-restricted area, Participants are subject to mandatory aviation security regulations, access control procedures, and identity verification requirements imposed by Oradea International Airport and competent authorities.
Each Participant is required to provide valid, accurate, and complete identification data, including but not limited to a government-issued identity document, as specified during registration. Access to the Event premises shall be denied to any Participant who fails to comply with such requirements.
The Organizer will not be responsible for a Participant’s inability to attend where such inability results from (i) failure to provide required identification data, (ii) inaccurate or expired documents, or (iii) a refusal decision by the Airport and/or competent authorities, except to the extent liability cannot be excluded under applicable law.
- Acceptance of Airport Rules and Instructions
Participants acknowledge and agree that airport regulations, security instructions, and operational rules shall prevail at all times. Participants shall strictly comply with all instructions issued by airport authorities, security personnel, and the Organizer.
The Organizer reserves the right to immediately remove any Participant from the Event premises who fails to comply with applicable rules, poses a security risk, or disrupts airport operations. Refund eligibility (if any) will be assessed under Section 9 and cannot affect mandatory rights under applicable law.
- Event Conduct and Code of Behavior
Participants shall behave in a professional, lawful, and respectful manner at all times. Harassment, discrimination, intimidation, unsafe behavior, or any conduct deemed inappropriate by the Organizer is strictly prohibited.
The Organizer reserves the right to suspend or terminate a Participant’s participation without prior notice in case of breach of these Terms or applicable laws.
- Intellectual Property
All intellectual property rights related to the Event organization, branding, materials, website content, and documentation remain the exclusive property of the Organizer or its licensors.
Any intellectual property created by Participants during the Event remains the property of the respective Participants or teams, unless otherwise agreed in writing. By participating, Participants grant the Organizer a non-exclusive, royalty-free license to reference the Participant’s name, project title, and general description for Event documentation and promotional purposes. Where such use constitutes personal data processing, it is carried out as described in the Privacy Policy and Data Protection Notice, including the Participant’s right to object where applicable.
- Media, Photography, and Recordings
The Event may be photographed, filmed, or recorded. By attending the Event, Participants acknowledge that they may appear in photographs, audio recordings, or video footage.
Where legally required, explicit consent for media usage shall be obtained in accordance with the Privacy Policy. Where a Participant is clearly identifiable and featured (e.g., interviews, testimonials, promotional portraits), the Organizer shall obtain the Participant’s separate consent through registration checkboxes or on-site release forms. Participants may withdraw consent by contacting the Organizer; however, such withdrawal shall not affect materials already lawfully produced.
- Health, Safety, and Liability
Participation in the Event is at the Participant’s own risk. The Organizer shall not be liable for any injury, illness, loss, damage, or theft of personal property, except where such liability cannot be excluded under applicable law.
Participants acknowledge that airport environments involve heightened safety and security risks and agree to act responsibly at all times.
- Limitation of Liability
To the maximum extent permitted by law, the Organizer shall not be liable for indirect, incidental, consequential, or special damages, including loss of profit, data, or opportunity, arising out of or in connection with participation in the Event.
The Organizer’s total liability, if any, shall in no case exceed the amount paid by the Participant for participation in the Event, unless mandatory law requires otherwise.
- Cancellation, Modification, and Force Majeure
- Data Protection
The Organizer reserves the right to modify, postpone, or cancel the Event, in whole or in part, due to circumstances beyond its reasonable control, including but not limited to security incidents, public authority decisions, weather conditions, or operational airport requirements.
In such cases, the Organizer shall not be liable for any additional costs incurred by Participants, including travel or accommodation expenses.
If the Event is cancelled and the Participant has paid a participation fee, the Organizer will refund the participation fee for the cancelled part, unless the Participant chooses an alternative offered by the Organizer (e.g., participation on a rescheduled date) or mandatory law provides otherwise.
- Governing Law and Jurisdiction
Personal data are processed in accordance with the Privacy Policy, the Data Protection Notice, the Cookie Policy and applicable data protection law.
By accepting these Terms, Participants acknowledge that they have been informed about such processing. Where consent is required for specific processing activities (e.g., featured promotional media, marketing communications, optional allergy/dietary information), it will be obtained through separate, specific consent mechanisms.
- Severability
These Terms shall be governed by and construed in accordance with the laws of Romania. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the competent courts of Romania. Nothing in this clause limits mandatory consumer protections, including any jurisdiction rights that may allow consumers to bring proceedings in the courts of their country of domicile under applicable EU law.
- Amendments
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
- Contact
The Organizer reserves the right to amend these Terms at any time. The updated version shall become effective upon publication on the official Event website.
