Why is this hackathon taking place inside an airport?
The Event is hosted within the premises of Oradea International Airport as part of a controlled innovation initiative. Due to the operational and security-sensitive nature of the location, all participants must comply with airport access, security, and identification requirements.
Why do I need to provide my ID or passport?
Because the Event takes place inside an airport-controlled area, the Organizer is legally required to collect identification data in order to submit participant lists for security screening and access authorization. This requirement is imposed by airport authorities and applicable aviation security regulations and is not optional.
Is providing identification data mandatory?
Yes. Providing valid and accurate identification data is mandatory in order to gain access to the Event premises. Participants who do not provide the required information, or whose information cannot be verified, will not be granted access to the Event.
What type of identification is required?
Participants are required to provide a valid government-issued identity document, such as a national identity card or passport. The exact requirements will be communicated during the registration process.
Who will have access to my identification data?
Access to identification data is strictly limited to:
- the Event Organizer,
- Oradea International Airport authorities,
- authorized airport security and access control providers,
- technical service providers involved in secure data processing.
All parties are bound by confidentiality and data protection obligations in accordance with GDPR.
How long will my ID data be stored?
Identification and security-related data are retained only for the period strictly necessary to fulfill security and legal requirements related to the Event. Such data are securely deleted within 30 days after the conclusion of the Event, unless a longer retention period is required by law or competent authorities.
Will my data be used for marketing purposes?
Personal data are used for marketing or promotional purposes only where explicit consent has been provided. You may withdraw your consent at any time, without affecting your ability to participate in the Event, unless such consent is legally required for specific activities (e.g. media appearances).
Will photos or videos be taken during the Event?
Yes. Photos and video recordings may be taken during the Event for documentation and communication purposes. Where required by law, explicit consent will be requested. Participants may request not to be included in such materials by contacting the Organizer.
What happens if I refuse to provide my ID?
If you refuse or fail to provide the required identification data, you will not be granted access to the Event premises. This is due to airport security regulations and is outside the Organizer’s discretion.
Is my data transferred outside the European Union?
Some technical service providers used for registration, communication, or data storage may be located outside the European Union. Where this occurs, appropriate safeguards are implemented in accordance with GDPR to ensure the protection of personal data.
How is my data protected?
The Organizer implements appropriate technical and organizational measures to protect personal data, including restricted access controls, secure storage solutions, and internal handling procedures designed to prevent unauthorized access, disclosure, or loss.
Can I access, correct, or delete my personal data?
Yes. In accordance with GDPR, you have the right to request access to your personal data, correction of inaccurate data, restriction or deletion of data (where legally permissible), and to object to certain processing activities. Requests can be submitted using the contact details below.
